FINANCIAL POLICY

      NEWARK CENTER FOR CREATIVE LEARNING

 

 

ENROLLMENT AND CONTRACT RENEWAL

 

The deadline for enrollment is March 1 for children currently attending NCCL.  Families may reserve a place by signing an Enrollment Contract, a Service Requirement Contract and paying 1/9 of the total tuition.

 

After March 1, any places not reserved for children already attending the school will be offered to new families.

 

The school reserves the right not to accept a new contract. For example, the school will not sign a contract with any family that has not satisfied its financial obligation for the current school year such as not paying the full tuition or not paying a workday fee or cleaning day fee.

 

A place may be reserved for a new applicant by paying 1/9 of the total tuition, the security deposit, and signing an Enrollment Contract, and a Service Requirement Contract.

 

TUITION

 

Two Payment Plan

          4/9 of total tuition due March 1.

          5/9 of total tuition due October 1.

 

Nine Payment Plan

 

          Each family's total tuition is divided into 9 (nine) equal installments.        

          An additional service charge per installment is assessed.

The first installment is paid March 1, or, for new students, upon signing the contracts.

 

The subsequent installments for continuing students are due on April 1, May 1, June 1, Sept. 1, Oct. 1, Nov. 1, Dec. 1, Jan. 1. The subsequent payments for new students will be the 1st of the next three months after signing the contract and Sept. 1, Oct. 1, Nov. 1, Dec. 1, Jan.1.  For contracts executed after June 1, the remaining tuition amount will be divided equally among the number of payments left and must be paid in full by January 1.

 

For contracts executed after September 1, if a child begins school by the 15th of the month, the initial tuition payment equals the amount of 4 installments (4/9's of the total tuition) plus 4 service charges and is due prior to the first day of attendance.  If a child begins after the 15th, the initial tuition payment is reduced by 1/2 of a months tuition.  The remaining tuition will be prorated and divided equally for the remaining months. Regardless of the starting date, the next payment is due on the first of the next month; and the last payment is due on January 1. 

 

Each family must select one tuition payment plan at the time the contract is submitted to the school.  A family may switch payment plans by notifying the treasurer.  The school will also accept full payment of the total tuition.

 

Payments are due on the first of the month and are considered overdue if the school receives them after the fifth of the month.  An additional service charge will be assessed for each overdue payment and for each returned check.

 

ADMISSION AND ATTENDANCE

 

At the beginning of the school year a child will be admitted only when all current financial obligations to the school have been satisfied. If any overdue tuition or security deposit payment has not been received by the last day of the month, the child will not be permitted to continue attending school until the overdue payment has been received by the school.  If a family has paid the security deposit in full, then at the discretion of the School Administration the period of attendance may be extended two weeks; however, at the end of this period the security deposit will be forfeited.  No refund or credit will be granted for school time missed while trying to make a payment that is more than a month overdue; however, a situation involving an unusual length of absence will be reviewed by the School Administration.

 

A substantial change in a family's financial situation which might make it difficult to keep up to date with tuition payments may qualify the  family for financial aid.  Any family faced with such a situation should contact the treasurer as soon as possible, even before missing a tuition payment, to allow as much time as possible to seek a solution and minimize the chance that a child will miss school.

 

WITHDRAWAL

 

If a family withdraws their child prior to the beginning of school, the family forfeits all tuition payments and the security deposit for that child.  If a family withdraws a child after school begins, the family is bound by the terms of the contract and school policy.

 

If a child is unable to complete the school year because a family moves their household to a distant location, the unused portion of the tuition (prorated on a nine month school year basis) will be refunded at the end of the school year; however, the security deposit and 1/9 of the tuition,will not be refunded.

 

SECURITY DEPOSIT

 

A security deposit, which is determined by the School Administration each year, must be paid and maintained for each child enrolled.  This deposit is non-interest bearing and is refundable after the child completes his or her last year at the school.

 

For new families enrolling a child in the school before September 1, this security deposit must be paid upon accepting enrollment.  If a new family joins the school after September 1 and selects the Nine Payment Plan for tuition payment, the security deposit payment may be spread equally over the first four tuition payments but must be paid in full by January 1.  If this family selects the Two Payment Plan for tuition payment, the security deposit must be paid in full with the first tuition payment.

 

If a family does not plan to enroll their child the following year, they should notify the school.  If all obligations to the school have been satisfied, the security deposit will be refunded after the end of the school's fiscal year, June 30.  If the family subsequently decides to re-enroll their child, the security deposit must be paid in full on submitting the new contract.

 

Any outstanding balances owed to the school will be deducted from the security deposit.

 

COMMITTEE SERVICE OBLIGATION

 

Parents do much of the work required to run the school maintaining the grounds and physical plant, publicity, fund raising and communication.  Parent participation is a vital aspect of the school's culture and also helps to hold down the operating cost.

 

Parents/guardians (except those who are salaried NCCL teachers) have a contractual obligation to participate on one of the school's committees.  We encourage both parents in separated families to take an active interest in their child's education and help in operating the school. However, if one parent does not live in the area he/she may be exempt.

 

The minimum acceptable level of participation to satisfy your committee obligation is to agree to help with a project when asked by one of the school's committees or to work on a project discussed with the school staff.  The time involved will vary depending on the needs of the school, but it has been typically 10 to 20 hours per year per parent. Many parents choose to devote much more time to the school than the  minimum and consider their participation very enriching, a chance to meet the other parents and the school staff, and an excellent way to become familiar with their child's school environment.

 

If at the end of the school year, a parent/guardian has been called on to participate and has not done so nor has she or he performed an equivalent service for the school in the judgment of the School Administration, a buy-out fee will be assessed.

 

A parent/guardian may elect at the beginning of the school year to pay a buy-out fee in lieu of committee participation.

 

WORK-DAY HOURS OBLIGATION

 

Each parent/guardian (except those who are salaried NCCL teachers) must do 8 hours over the summer during 4 scheduled Saturday workdays (or arrange for make-up hours). A minimum of four hours must be completed by the first day of school each year, or a portion of the buy-out fee must be paid.  The remaining 4 hours must be completed by June 31. A penalty as well as the buy out fee will be assessed for no-shows.

 

A parent may elect at the beginning of the school year to pay a buy-out fee in lieu of participating in the workdays.

 

Certain committee chairs, usually those who are required to attend the  School Meetings may be exempt from the work day obligation. These chairs will be determined by the School Administration at the beginning of each school year.

 

CLEANING OBLIGATION

 

Each family is required to either clean the school approximately once per month during the school year or pay a cleaning fee.  The families of salaried NCCL teachers are exempted from this requirement.  If a family elects to pay the cleaning fee, this amount is due in full prior to Sept. 1 or prior to the first day a child begins attending school if a contract is signed after September 1.  Families selecting the 9 payment plan may pay the cleaning fee in 3 equal installments on September 1, October 1, and November 1.  If a child begins school after January 15 the cleaning option fee is halved.

 

During the school year a family may switch from cleaning the school to paying the cleaning fee, paying the full cleaning fee before January 15 and half thereafter.

 

If a family elects to clean the school and misses a cleaning day, a fee (determined each year by the School Meeting) will be assessed for each missed day.  After two missed cleanings, the family will be required to buy-out of the cleaning obligation at the full buy-out fee, regardless of when this occurs.

KEYS

 

Families who clean and chairs of certain committees will be issued a key to the school.  This key must be returned when the family leaves the school or no longer needs the key.  There is a fee, determined by the School Meeting, for failure to return the key.  These families may also be responsible for the cost of rekeying the locks on all of the doors to the school if the School Administration deems it necessary.

 

APPLICATIONS

 

There is a nonrefundable application fee to submit an application.  If there is not a place for the applicant for the current year, the child is automatically considered for enrollment for the next school year.  Another application fee is not accessed. If a place is offered and not accepted, the application is canceled. A new application and fee is necessary to be placed at the bottome of the waiting list again.

 

Siblings of current NCCL students are given priority on the waiting list if applications are received by November 1 of the preceding school year.
